A gap in any one of these categories becomes the critical problem in a specific situation: when a customer calls to reorder the banner you printed for them eighteen months ago and expects you to have the file, when an invoice dispute requires retrieving the exact approved proof, or when the workstation holding five years of customer artwork develops a failed drive over a holiday weekend.
Most shops already know their files are important. The practical problem is that the files most critical to the business are also the ones customers cannot easily re-supply, making a recovery event far more disruptive than it would be in an industry where customers can simply re-send source material.
Customers submit artwork in whatever state it was in when the job was ordered. Your working copy on the prepress or design workstation is one. A local external drive or network-attached storage holding a copy is a second. A third copy, off-site in encrypted cloud backup, is the one that survives a local event affecting both of the first two at the same time, whether that is a fire, a theft, or ransomware encrypting every drive the machine can reach. Each customer job should exist in all three places before the original files are removed from the production queue.
Keeping two copies on the same type of drive in the same location does not provide meaningful redundancy against a hardware failure or an event affecting the building. CISA guidance calls for at least two different storage media types, for example an internal or external local drive and a separate off-site cloud destination, as distinct and independent layers of protection rather than two copies in the same physical space.
Off-site means physically separated from the shop. Cloud backup satisfies this requirement when data is stored in a remote data center rather than on a drive in the same building. The off-site copy is the one that protects you when everything at the shop is affected at once: a flood on the production floor, a break-in over the weekend, or ransomware that encrypts the workstation and every USB drive connected to it.
A practical workflow looks like this: customer artwork arrives and is saved to the job folder on the prepress workstation, the backup system picks it up and sends it to the off-site destination automatically, and the local copy on an external drive gives you a fast-restore option for recent jobs. All three copies exist without manual steps on each job day. Older job archives remain in backup scope so reorder requests can be filled without hunting through disconnected drives.

Fonts are the part of the prepress environment that shops most often assume are covered but frequently are not. Design files reference fonts by name. When a file is opened on a machine that does not have the referenced font installed, the application substitutes a different typeface or flags the missing font, which changes spacing, line breaks, and layout in ways that may not be visible without careful review. A file that looks correct on screen with the wrong substitute font may produce incorrect output.
Font files on a Windows machine are typically installed to a system directory that is separate from the job folder structure most backup configurations are built around. A backup scope that covers the job folder hierarchy but does not explicitly include the font directory means that even a complete job-folder restore may not produce a working prepress environment. This matters most for shops that use licensed specialty fonts purchased for specific customer accounts, where the original license may not be transferable or re-downloadable years later.
Locating and explicitly adding the Windows font directory and any shop-specific font library locations to your backup configuration is a one-time step. Once those paths are in scope, font files are covered alongside the job folders that depend on them.
A RIP station is not just a workstation that happens to run different software. It often holds processed job files that have already been rasterized for a specific output device, output profiles calibrated for specific substrates and ink configurations, hotfolder configurations that define how incoming jobs are processed, and job history data that records what settings were used for previous output. Losing this data means re-processing jobs from the prepress stage and recalibrating profiles from scratch, not just reinstalling an application.
RIP stations are often not included in a shop's backup plan because they are considered production infrastructure rather than data-storage machines. The practical effect is that a failed RIP machine takes the shop offline for longer than necessary because the configuration data needed to bring a replacement machine up to the same output standard is not available from backup. An external hard drive is a useful local copy and much better than keeping customer files only on the main workstation. But a single external drive is one point of failure. It is not off-site, so any event at the physical location affects it at the same time as the workstation it backs up. A network-attached drive or server within the same building is a useful second copy and supports easy access from multiple machines. But it is not off-site, so a fire, flood, theft, or ransomware event affecting the building can affect the network drive at the same time as the workstations it connects to. Ransomware that reaches a Windows machine with mapped network shares will often encrypt those shares alongside the local files. A network drive provides redundancy against a single workstation failure, but it does not satisfy the off-site requirement of a 3-2-1 backup posture and does not protect against an event affecting the physical location or a ransomware infection that can reach the shares.
Cloud sync folders, where files are mirrored from your workstation to a cloud service, give you access to the current state of your files from multiple locations. But sync is not backup. When a file is deleted on the workstation, the deletion propagates to the synced copy. When ransomware encrypts your job folders, the encrypted files overwrite the previously synced versions within seconds. Sync does not maintain version history that lets you retrieve a file as it existed before it was deleted or encrypted. Point-in-time backup with version history is what provides that protection. Sync and backup serve different purposes and should not be treated as equivalent.
