A studio's data accumulates shoot by shoot across years of work. Much of it exists only as local files on one or two Windows machines in the studio or on an external drive sitting on a shelf. The categories below are what a working photographer or video studio should be able to recover, from a specific client and shoot date, on demand.

What could you not re-shoot?

A wedding ceremony happens once. If the RAW files from a ceremony are on a single drive and that drive fails before delivery, there is no path back. The moment cannot be restaged. The 3-2-1 rule is a straightforward backup framework promoted by CISA and used in small-business backup guidance. For a photography or video studio managing large volumes of image and video data, here is what it looks like applied to the files that actually matter, from card offload to long-term archive.

3 copies of your data

Your working copy on the studio's main Windows machine or editing workstation is one. A local external drive or NAS holding a copy is a second. A third copy, off-site in encrypted cloud storage, is the one that survives a local event affecting both of the first two at the same time. Each shoot should eventually exist in all three places before the memory cards are reformatted for reuse.

Keeping two copies on the same physical drive type in the same location does not provide meaningful redundancy against a hardware failure or a building event. Catalog files and editing software: what backup actually needs to cover

The two most commonly overlooked backup targets for photographers are the catalog file used by their photo-editing software and the project files used by their video-editing application. Understanding what these files contain and where they are stored is essential to confirming your backup scope is actually complete.

Photo-editing catalog files

Most professional photo-editing workflows center on a catalog-based application that maintains a database of every image in your library: the file path where the RAW file lives on disk, the edit history applied to each image, your ratings and flags, your keywords and metadata, your collections and album organization, and your export presets and history. This catalog database is typically a single file or a small folder that can be anywhere from a few hundred megabytes to several gigabytes depending on library size. It is almost always stored in a different location from the image folders themselves.

When you back up your RAW file folders, you are protecting the original captures. When you back up the catalog file, you are protecting the organizational structure and edit history that makes those RAW files into a usable, navigable library. Both are necessary. If the catalog is lost or corrupted and you do not have a backup of it, you may still have all of your RAW files but none of the metadata, ratings, keywords, or edit history that represents years of curation work. Rebuilding a catalog from scratch against an existing RAW library is possible but is a very time-consuming process.

Find the location where your catalog software stores its database file and add that path explicitly to your backup configuration. Do not assume it is inside your image folder structure. In many setups it is stored in a system folder or an application-specific location that would not be covered by a backup scope limited to your image library folder.

Video project files and render cache

Video project files, the timeline and sequence files that record your edit decisions, are typically small in file size but represent the full editing work performed on a project: the cut, color correction, audio mixing, graphics, and export settings for a finished film. These files reference media on disk by path, so restoring a project file is only useful if the underlying video media is also present and accessible at the same path. A complete backup of a video project covers both the project file and the source media it references.

Video scratch files, render cache, and proxy media are a different category. These folders can be extremely large, sometimes larger than the original source media, and they are regenerable by re-rendering the project. Whether to include them in backup scope is a deliberate tradeoff: including them means faster recovery from a loss event because you do not have to re-render everything; excluding them reduces storage requirements. Either choice is defensible, but it should be made deliberately with an understanding of what re-rendering a project from scratch would actually cost in time.

Final exported video files in delivery formats are a separate consideration. Once a wedding film or event video is delivered to a client, the export represents the finished product. Keeping a backup copy of delivered exports protects against a client returning months later to request the film again, in a different format, or after an original delivery link has expired. These exported files are frequently large but are among the most practically valuable files to retain long-term.

Frequently Asked Questions

Is an external hard drive enough to count as a backup?

An external hard drive is a useful copy and much better than having files only on your main machine. But one external drive is one point of failure. Drives fail without warning, often with no recoverable data. A drive sitting on a desk next to your computer can be stolen in the same burglary, damaged in the same flood, or encrypted in the same ransomware event that affects your main machine. The drive is not off-site, so any event affecting your studio affects it at the same time. Does my consumer photo cloud already back me up?

Consumer photo cloud services and folder-sync tools provide convenience copies that sync from your device, but sync is not the same as backup. When you delete a file on your machine, that deletion typically propagates to the synced copy. When ransomware encrypts your local files, the encrypted versions overwrite the previously synced copies. Many consumer photo services also store reduced-resolution or optimized versions of images rather than the full-resolution originals or camera RAW files, meaning the copy you can retrieve may not be the file a client actually needs. What about my photo-editing catalog? Is that covered by backing up my image folders?

No, not automatically. Your photo-editing catalog is a separate database file that lives in a different location from your image folders. Backing up your RAW file library protects the original captures. Backing up the catalog protects the edit history, ratings, keywords, collections, and organizational structure you have built over years of use. Both need to be in your backup scope, and they need to be added as separate paths. If the catalog is not explicitly included, you may be able to restore your RAW files after a loss but find that all of the curation and processing work that made them into a usable library is gone.
