For Independent Financial Advisors & RIAs

Backup For
Financial Advisors & RIAs

If a ransomware attack or hard drive failure hit your practice today, how quickly could you restore your client files, financial plans, and meeting notes?

Everyday Backups helps independent advisory practices protect business-critical files with managed, encrypted cloud backup, monitoring, recovery support, and monthly backup health reporting. Paid plans from $5.99/mo.

The files an advisory practice can't afford to lose

Your practice runs on client trust and years of accumulated data. A single hardware failure, accidental deletion, or ransomware attack can wipe out records that took a career to build.

These are the operational files your practice depends on every day. They are not automatically backed up by your custodian or software vendor, and recovering them after data loss without a backup is often impossible.

Where backup gaps hide in a financial advisory practice

Most small advisory offices assume their data is protected. In practice, the gaps tend to cluster in the same places.

If your practice handles any client-facing planning documents, a gap in any of these areas puts years of work at risk. For a broader look at small-business backup vulnerabilities, see our backup guide for accounting and bookkeeping firms, which covers many of the same Windows-workstation risks that affect advisory offices.

A backup standard for small advisory practices

CISA (the Cybersecurity and Infrastructure Security Agency) recommends the 3-2-1 rule as a baseline for small-business data protection: three copies of your data, on two different media types, with one copy stored off-site. CISA also recommends that backups be encrypted and that restore tests be performed regularly so you know a recovery will actually work when you need it.

You can score your current setup against these criteria with our free small-business backup checklist. If ransomware is a concern, our guide on ransomware restore readiness walks through what recovery actually looks like and what to have in place before an incident.

Frequently Asked Questions

Can Everyday Backups keep us compliant or serve as our books-and-records archive?

No. Everyday Backups provides managed backup, monitoring, and recovery support for your operational files. It is not a regulatory compliance-archiving system and does not fulfill SEC, FINRA, or Rule 17a-4 books-and-records obligations. Regulatory recordkeeping requirements for RIAs are specific and technical. Please involve qualified IT and compliance counsel to address those obligations separately from your general backup strategy.

What kinds of files should an advisory practice back up?

Any file your practice creates or receives that you would need to continue serving clients: client folders, signed documents, financial plans, meeting notes, statement copies, CRM and planning-software exports, and scanned paperwork. If it lives on a workstation or a local drive and losing it would hurt your business, it belongs in your backup.

Is cloud storage (such as OneDrive or Google Drive) enough?

Cloud storage keeps files accessible across devices, but it is not the same as a backup. If a file is deleted, corrupted by ransomware, or the account is compromised, that damage syncs to the cloud copy as well. A separate encrypted backup with independent access gives you a recoverable version that is not connected to your primary account. CISA's guidance on ransomware specifically calls out the need for offline or otherwise isolated backup copies for this reason.

How does Everyday Backups work for a small advisory office?

Everyday Backups is a managed, encrypted cloud backup service built for small Windows-based businesses. You select the folders that matter, and we handle encryption (in transit and at rest), monitoring, and monthly backup health reporting. If you need to recover files, recovery support is included.
