The files an accounting firm can't afford to lose

A firm's recovery picture is much bigger than one QuickBooks file:

• QuickBooks Desktop company files and QuickBooks Online exports.
• Client tax returns, current and prior years.
• Payroll records, W-2/1099 data, and payroll forms.
• Workpapers, engagement letters, and signed authorizations.
• Bank and credit-card exports, reconciliations, and source receipts.
• Client folders, scanned documents, and accountant transfer files.
• Local spreadsheets used for job costing, billing, and cash flow.

If the QuickBooks data survives but the surrounding documents don't, recovery is still painful, especially mid-season.

Where backup gaps hide in a firm

• The active QuickBooks company file lives on one workstation, with no separate copy.
• Cloud sync (OneDrive/Drive/Dropbox) is mistaken for backup, a deletion or ransomware change syncs everywhere.
• Backups exist but no one is sure they completed, or when a restore was last tested.
• Retention is too short to recover a clean version after a delayed discovery.
• Only one person knows where the files live and how to restore them.
• Busy-season volume means a bad day is the worst possible time to discover a gap.

A backup standard for small firms

• A separate backup copy that does not depend on the daily working computer or sync account.
• Enough version history to restore a clean copy from before a bad change, through busy season.
• Encryption in transit and at rest.
• Monitoring, so a failed backup is noticed and reviewed.
• Restore testing, so recovery is not a surprise (CISA recommends regular testing).
• A documented recovery owner and a first-to-restore priority list.
